What is a capability statement?

A capability statement is a short, self-contained document, usually a single page, that says who your business is, what it does, and why a buyer can rely on it. In the defence supply chain it is often the first thing a prime, a program office or a procurement team looks at when they are sizing you up.

Think of it as your business on one page. It sets out your core capabilities, the work you are set up to do, the certifications and standards you hold, and the details a buyer needs to place you and get in touch. It is not a brochure and it is not a bid. It is the document that tells a busy decision-maker, quickly, whether you are worth a closer look.

Most capable suppliers already have one. Fewer have one that does the job.

Why it matters

Judged before you are in the room.

In defence, you are often assessed before you ever meet anyone. Supplier lists get built, briefings get followed up, and shortlists get drawn from the businesses that present as ready. A capability statement is frequently the artefact doing that talking for you.

When a prime asks capable suppliers to send something through, they usually mean a capability statement. When you introduce your business to a program office, it is what you leave behind. It travels without you, gets forwarded internally, and is read by people you may never meet. If it is unclear, dated or generic, it quietly costs you consideration you had earned on capability alone.
